Privacy Policy

ICE Luxury Weddings & Events ("ICE", "we", "us", "our") is a Bali-domiciled, by-application-only wedding and event studio, working with couples worldwide including in Australia, India, the Philippines, and Singapore. This policy explains what personal information we collect through ice-luxury.com, why we collect it, and the choices you have over it.

For any question about this policy or your data, write to us at hello@ice-luxury.com and a member of the house will respond personally. This is also our privacy contact point for the regions named above.

We collect information you provide directly, through the following channels:

• Application form (/apply) — names, contact details, wedding date and location preferences, guest count, budget indications, and the personal story you choose to share with us.
• Private enquiry form (/enquire) — your name, contact details, and the content of your message.
• Dream Builder — any planning information, preferences, or documents you enter once you are a client of the house.
• Direct correspondence — anything you send us by email, WhatsApp, or in conversation.

Like most websites, ice-luxury.com can use a small number of third-party tools to understand how the site is used and to reach couples who may be a fit for the house. We split these into three categories:

• Necessary — required for the site to function. Always on; nothing to opt into.
• Analytics (Google Analytics) — aggregate visit and engagement statistics: pages viewed, device and browser type, and general location from IP address.
• Marketing (Meta Pixel) — helps us measure and refine advertising on Instagram and Facebook, and may be used to build advertising audiences.

We use the information above to:

• Review your application and respond to your enquiry, personally and directly.
• Plan and deliver a celebration, once you are a client of the house.
• Communicate with you about your application, enquiry, or event.
• Understand how our site is used, so we can improve it — only if you have consented to Analytics.
• Show relevant advertising to prospective couples, and measure how well that advertising performs — only if you have consented to Marketing.

We do not sell your personal information. We share it only where necessary to run the house and deliver a celebration:

• With trusted vendors, artisans, and venues directly involved in planning your event, on a need-to-know basis.
• With service providers who host our site, store images, process applications, or support our analytics and advertising (including Google and Meta, under their own privacy terms, and only for visitors who have consented to that category).
• Where required by law, or to protect the safety of our clients, guests, or staff.

We keep information only as long as we have a reason to:

• Application or enquiry not accepted — kept for up to 24 months from submission, in case you return to us, then deleted.
• Client and event information — kept for the duration of our relationship, and for up to 7 years after your celebration concludes, to meet our accounting, tax, and legal record-keeping obligations (specific minimums vary slightly by country; we use 7 years as our general standard).
• Analytics data — retained in Google Analytics under Google's own retention settings (14 months by default for this property).
• Your cookie choice itself — stored only in your own browser (localStorage), not on our servers, until you change it or clear your browser data.

Depending on where you live, you generally have the right to ask us what personal information we hold about you, to correct it, to have it deleted, to withdraw consent at any time (use the "Cookie Preferences" link in the footer, or write to us for anything beyond cookies), and to object to certain uses of it, including advertising. To exercise any of these rights, write to hello@ice-luxury.com — we will respond personally and promptly.

ICE is based in Bali, Indonesia, and that is where most of our own records are held. Because we work with couples internationally and use global service providers, your information may also be processed in other countries — including by Google and Meta, which operate infrastructure in the United States and elsewhere, under those companies' own cross-border transfer safeguards. By using our site or applying to work with us, you understand your information may be handled outside your home country in this way.

We run advertising and welcome applications from these regions specifically, so we want to name the law that applies to you directly, in addition to the general rights in Section 7:

• Australia — the Privacy Act 1988 (Cth) and the Australian Privacy Principles apply. If you feel we haven't resolved a concern, you can contact the Office of the Australian Information Commissioner (OAIC).
• India — the Digital Personal Data Protection Act, 2023 applies. You may withdraw consent as easily as you gave it, and may raise unresolved concerns with the Data Protection Board of India once it is operational.
• Philippines — the Data Privacy Act of 2012 applies. Unresolved concerns can be raised with the National Privacy Commission (NPC).
• Singapore — the Personal Data Protection Act 2012 applies. Unresolved concerns can be raised with the Personal Data Protection Commission (PDPC).
• Any other region — we apply the same rights described in Section 7 regardless of where you live, even where local law does not require it.

We take reasonable technical and organisational measures to protect the information you share with us. No method of transmission or storage is completely secure, but we treat every application and enquiry with the same discretion we bring to the celebrations themselves.

Our site and services are intended for adults planning a wedding or event. We do not knowingly collect personal information from children.

We may update this policy from time to time as the house or the site evolves. The effective date below reflects the last update. Continued use of the site after a change means you accept the revised policy.
